The project is divided into four phases:Field demonstration and analysis of potential requirements (Phase I). In this phase, we will take careful look at the needs and wishes of the existing institute members and the current business processes. It is also in this phase that we shall take the current technical infrastructure into account (such as existing hardware, software, etc). This will involve the production of suitable requirements documentation, and therefore we shall need to conduct a field study and a workshops in order to identify the most important requirements. It is during this phase that the requirements are sufficiently detailed to define the logical system model, thus we shall conduct a cost analysis of the given system specifications. In our cost analysis, we shall take into account old and new business requirements. The business requirements shall be documented as system use cases in a process map. During this phase, the infrastructure has to be refactored and significant design decisions taken, in order to enable the implementation of the planned solution.
What resources will be used to accomplish the objectives of the project. This will include the capacity of the existing computers, in terms of memory, CPU and monitor,and accessibility and visibility of the various library areas. It will also include the capacity of other resources, such as manpower and time. We shall allocate the budget for the project based on these constraints; we shall provide for all the activities that we are going to conduct during the project. We shall then record all activities in our notes and project plan. These notes and the project plan will ensure that at the end of each phase, the organisation that we are working for has a complete description of the outcome of each activity.
